Box one: device and account

This box can hold who owns the device, who can open it, which profile is active, and who controls account recovery. Notification previews, saved sessions, and shared-browser access can appear beside them. This box covers everyday visibility before the entry reaches a service. A passcode belongs here, not as an answer for the entire route.

Box two: sync and movement

An arrow can represent each verified destination and name what moves: text, audio, transcript, attachment, or metadata. “Protected in transit” describes an arrow. It does not explain stored readability, provider handling, or the copies created by export.

A harmless test entry can trace movement before personal detail is added. A line such as “test note about Tuesday” can reveal whether saving creates a synced record, whether transcription adds a separate text form, and where an export lands. Only what the current interface and disclosure confirm belongs in the route. If the route differs between typing and voice, two branches may be clearer than one broad privacy label.

Box three: requested processing

The requested function, such as transcription, narrative creation, or a pattern read, can appear beside the content it needs. Model processing stays separate from person-to-person sharing. If documentation does not answer a question, the cell can remain marked unknown.

Box four: export, deletion, and retention

An export creates another copy, so its format and destination belong in the route. The deletion sequence offers more detail than a single reassuring word. Any stated limits for backups, processors, billing, audit, legal obligations, or separately chosen sharing can appear beside it. The worksheet asks what the current disclosure says, not what a person hopes it means.

Box five: the entry level

The available levels are category, scene label, quoted scene, or offline reference. A category such as “family call” carries less context. A quoted scene carries more detail and sensitivity. The most detailed option is not automatically the most useful. The writer can revise the level or stop before saving.

The same event can support several entry levels. “Work conversation” preserves a category. “Tuesday handoff changed” keeps a scene without names. An exact quotation preserves language but may carry another person’s information. The options can sit beside the route map, with the least detail that still serves the writing purpose left to the writer. When the purpose changes, the choice can change too. No level becomes a permanent rule for every future entry.
